By February 15th, 2023, a non-refundable $500 deposit is due to IU toward program fees and by March 1, 2023 a $500 deposit is due to Travel Leaders toward airfare. Of the $500 airfare deposit, $250 is non-refundable. See the Student Checklist and payment instructions.

Program Fees are paid to Indiana University Accounts Receivable and are due in four installments:
*This initial deposit covers upfront costs for accommodations and transportation onsite.
Airfare is paid directly to Travel Leaders in two (2) installments:
**$500 airfare deposit towards round-trip group flights: For student safety and security and for logistical ease of the program, we require that students fly together on group flights with their instructors. $250 of the airfare deposit is non-refundable.
Accepted students who have not paid Program Fees and Airfare by the final payment deadlines will not be able to participate in the program.
Withdrawal Before the Program Begins
If a student withdraws from the program prior to departure for any reason other than serious illness or an emergency, a refund of Program Fees will be calculated based on the following schedule:
- Before March 1, all but the $500 non-refundable deposit is refundable
- Before April 1, all but $1,000 is refundable
- Before May 1, all but $2,000 is refundable
- On or after May 1, Program Fees are 100% non-refundable (with rare exceptions)
Refund requests prior to the program due to serious illness or emergency will be considered on a case-by-case basis and will depend on what costs are still recoverable at that time.
Withdrawal from the program is considered effective on the date that written notification is received by IUHPFL.
Refund of Airfare (prior to the program) must be arranged through Travel Leaders directly. The policies of individual airlines will apply after ticketing occurs in mid to late April.
Withdrawal After the Program Begins (While Abroad)
If a student wishes to withdraw from the program after it begins, they or their parents/guardians must send a statement to IUHPFL explaining the reason. At that point, no refund will be possible due to the expenses that will have been paid on the student's behalf. Additionally, parents/guardians will be responsible for all expenses associated with having an instructor accompany the student to the international airport in the host country and with changing the return flight. The airline will work directly with the student's parents/guardians to accommodate change requests in a timely manner.
Expulsion from the Program
If a student is expelled from the program, no refunds can be granted. Additionally, parents/guardians will be responsible for all expenses associated with having an instructor accompany the student to the international airport in the host country and with changing the return flight. The airline will work directly with the IUHPFL Office to accommodate change requests in a timely manner.
Cancellation of Programming by IUHPFL
If it is necessary for IUHPFL to cancel programming prior to departure, students and their parents/guardians will receive a refund of Program Fees and Airfare already paid, less any non-recoverable costs.
If it is necessary for IUHPFL to cancel programming after the programs begin, any recoverable costs will be refunded.
